2001 - 2002 Trip Policies

MEMBERSHIP
CLUB membership in good
standing is required for participation in any CLUB function classified
by the BOARD OF DIRECTORS as a "trip".
RESERVATIONS
All reservations must be
accompanied with the appropriate payment and fully completed reservation
form. All reservations for ski trips require a minimum deposit of $100
per person per trip with the reservation. Choice of accommodations and
service is on a first come/first served basis.
TRIP OCCUPANCY
Unless otherwise specified
by the Board of Directors, all trips are sold as minimum occupancy.
TRIP OCCUPANCY EXCEPTIONS
Individuals may not invite
others to share their assigned accommodates unless the following requirements
are satisfied. For the purpose of this policy, these additional room participants
will be referred to as guests.
1. All guests must be members.
2. Guests must have a sponsor
who is a member in good standing.
3. Guests must stay in the
same accommodations as the sponsor.
4. The sponsor assumes all
financial responsibility for the guest(s) and shall provide any required
security deposits to the accommodations.
5. Guests must sign Lone
Star Skiers' liability waiver.
6. All persons assigned to
the accommodations must signify their consent for the guest(s) by signing
the "Guest Approval Form" and submitting it to the Trip Director for compliance
assurance of above requirements.
If the CLUB Trip Director
for does not receive the completed form prior to the guest(s)' stay, Lone
Star Skiers reserves the right to have the property owner or management
remove the guest(s) from the accommodations.
TERMS
Payments totaling a minimum
of fifty percent (50%) of the trip price must be deposited with the club
prior to the later of 90 days before trip departure or October 1. All final
payment(s) must be made prior to 45 days before trip departure. The CLUB
reserves the right to cancel any reservation for failure to meet payment
schedules. No personal checks will be accepted for trip payments within
45 days prior to trip departure and no credit cards will be accepted for
trip payments within 15 days prior to trip departure.
CASH/CHECK DISCOUNT
A discount will be given
for payments made FULLY in cash/check. This discount will be credited upon
final payment.
STAND-BY
Monies received by the CLUB
after a trip is full will be posted to a STAND-BY list in the order received.
These people will be immediately notified by the trip director and given
the opportunity to withdraw their reservation with a FULL REFUND. Should
all or part of the requested reservation become available, the person(s)
will be notified by the trip director and given 24 hours to respond (subject
to TERMS above). If no reservations become available, or if the person(s)
decline to respond, their monies will be fully refunded.
SUBSTITUTIONS
When a trip is filled and
a stand-by list is in effect, substitution of one's own reservation is
not permissible. The vacated reservation will be offered to the
first matching reservation on the stand-by list. If a suitable substitute
is found, then the canceling participant will be refunded all monies less
the administration fee.
Exception: If one of two
joint members traveling together cancels, the remaining member may select
a substitute. The substitute must be acceptable on the same terms as the
original participant. Prior to acceptance of said substitution, the administration
fee must be paid to the CLUB.
CANCELLATIONS
1. ALL cancellations
must be in writing and are subject to payment of administration fees in
addition to other applicable penalties. Cancellation notice received 91
days or more prior to trip departure will result in administration fees
only being assessed. Notice received within 90 days of trip departure will
be assessed the following penalties in addition to administration fee.
61 to 90 days = 10% of the
trip price
31 to 60 days = 20% of the
trip price
Less than 31 days = all
unrecoverable monies
2. In the event the club
retrieves any guaranteed monies, they will be refunded to those meeting
above cancellation requirements.
3. No refund will be made
for requests received 16 days or more after trip departure.
4. If our advertised price
increases by more than $35.00 from the original estimate, a trip participant
may cancel without penalty and/ or administrative fee if written cancellation
is postmarked within 7 days of the written notice of price change. Written
notice will be given by letter from the trip director to each person that
has made a reservation and paid a deposit for the trip.
TRANSFERS
Transfers of deposits from
one trip to another are acceptable, provided written request is received
by the CLUB at least 91 DAYS prior to departure. Notice received less than
91 DAYS prior to departure will be treated the same as a cancellation of
less than 91 DAYS.
REFUNDS
All refunds will be made
by CLUB check and sent by first class mail, except in the case that the
original payment was charged, and then refund will be in the form of a
credit to the same charge card that the original payment was charged. Cancellations
received prior to 90 days of trip departure will be refunded within 30
days. All other cancellations will be refunded within 30 days of trip return.
Exceptions may occur if suppliers are late returning refunds to the CLUB.
In the case of refund by check, a separate check for the full amount of
the appropriate refund will be made out to each member participant, regardless
of the manner in which payment was originally made (except for family members
having the same address of record) and sent to the address which appears
on the trip reservation form.
When applicable, a $20 administration
fee will be charged on a "per participant" basis.
SNOW CLAUSE
If a ski area reports less
than 25% of the total ski lifts open within 3 days of departure, the CLUB
will try to reschedule the trip to a reasonably comparable ski area (within
10% of the original trip's price). If no comparable area of adequate snow
conditions can be found or is available, the CLUB may cancel the trip and
refund all monies recoverable from its suppliers. If the CLUB does not
cancel the trip, normal cancellation policies apply.
CLUB CANCELLATIONS
The CLUB reserves the right
to cancel any trip detrimental to the purposes and goals of the CLUB and
refund all recoverable monies.
EXCEPTIONS
The above policies are in
effect unless stricter policies are required by the suppliers.
AUTHORITY
On a trip, the TRIP DIRECTOR
and/or ASSISTANT TRIP DIRECTOR assigned by the CLUB shall be in charge
and have complete authority to represent and enforce any CLUB policies
regarding proper and reasonable conduct by all trip participants. The CLUB
assumes no responsibility for the actions of any trip participant. The
CLUB reserves the right to refuse or terminate trip service to anyone at
anytime, subject to reasonable cause.
RESPONSIBILITY
All arrangements furnished
in connection with any trip offered are made by LONE STAR SKIERS, its agents
and assigns. The CLUB shall be responsible for supplying services and accommodations
offered, as set forth in its literature, except to the extent such arrangements
cannot be supplied due to circumstances beyond its control, in which case
the CLUB will make a reasonable effort to supply comparable services and
accommodations.
SMOKING POLICY
No smoking will be permitted
on buses.
